Connecting Your Instagram: The Complete Setup & Troubleshooting Guide

If you've been a social media manager for the last couple of years, you'll know that sometimes it can be a bit tricky connecting your profiles. In the past, Connecting Instagram used to be as simple as logging in with your username and password, but things have changed. Today, it's a multi-step process that is governed by Meta's developer guidelines.

This Guide will break down the changes, how to configure your accounts properly, and make sure that you can link them to Arche Social. We'll also go over what to do if things aren't going to plan. 


What has Meta Changed with How Instagram Connects?

Meta has restructured their ecosystem to enforce their business data protocols. It has completely phased out personal account access.
  • Business or Creator Accounts Only: Automation is restricted to professional accounts only. Personal profiles now lack the backend tools required to set up automated posts via external apps.
  • The Facebook Business Integration: To authorize third-party app the ability to publish content to your instagram, Meta now requires your instagram professional profile to be claimed and linked to a managed Facebook Business Page.

Phase 1: How To Set Up Your Instagram & Facebook Accounts

Before touching Arche Social, you need to prepare your accounts directly on your phone and Facebook

Step 1: Switch to a Professional Instagram Account

  1. Open the Instagram app and go to your Profile.
  2. Tap the Menu (three horizontal lines) in the top right corner, then select Settings and Privacy.
  3. Scroll down to Account type and tools.
  4. Tap Switch to professional account (or Switch to creator account) and follow the prompts to choose a category. It's is completely free and takes less than a minute to do.

Step 2: Connect Instagram to a Facebook Business Page

  1. While Still in Instagram, go back to Edit Profile.
  2. Under the Public business information section, tap Page.
  3. Select an existing Facebook Page you own, or tap Create a Facebook Page right from the prompt.
  4. Confirm and save the connection. (Note: You must have Admin access to the corresponding Facebook Page for the authorization to pass through successfully). 

Phase 2: How to Connect Your Account to Arche Social 

Now that your Instagram profile is correctly paired with your Facebook Business Page, connecting it to Arche Social should just take a couple of clicks:
  1. Login to your profile
  2. In the sidebar, click Connect Social Media 
  3. Locate the Instagram card
  4. click Connect to trigger the secure Meta OAuth authentication window.
  5. Log into your Facebook account (the one linked to your Business Page) and grant the requested permissions for your pages and linked Instagram accounts
  6. Select your specific Instagram profile from the list if prompted, and finalize the handshake

Your account will instantly bridge to the Arche Social pipeline, unlocking the ability to schedule your posts. 

Phase 3: Troubleshooting Common Connection Roadblocks

Even with everything set up properly, Meta's permission loops can occasionally throw a wrench into things. Here is how to fix the most common issues:

No Instagram Business Account Found Error:
  • The Cause: Your Facebook login succeeded, but the Graph API cannot locate an attached Instagram profile.
  • The Fix: Go directly to Facebook, navigate to your Facebook Page's Settings -> Linked Accounts (or Instagram management tab), and verify the connection. Alternatively, unlink and re-link your page inside the Instagram mobile app settings.

Missing Permissions or Grayed-Out Pages:
  • The Cause: You aren't logged into the Facebook account that holds strict Admin or Editor permissions for the Business Page.
  • The Fix: Log out of Facebook in your browser, log back in using the primary administrator profile associated with the Business Page, and try reconnecting in Arche.

Expired or Revoked Tokens:
  • The Cause: Meta access tokens expire periodically (typically after 60 days), or if you recently changed your Instagram/Facebook password.
  • The Fix: Simply head back to your Arche /connect dashboard and hit Connect to refresh your secure long-lived tokens.
